Introduction

Managing your email accounts on your iPhone is easier than ever. Whether you use iCloud, Gmail, Outlook, or another provider, the Mail app on your iPhone allows you to view, add, and organize multiple accounts in one place. Keeping your accounts up to date ensures that you’re always connected and helps prevent clutter from messages you no longer need.

View Your Mail Accounts

To begin, open the Settings app and tap Apps, the tap Mail, then choose Accounts. This screen shows all the email accounts currently connected to your iPhone. Each account is listed by the service it uses—like iCloud, Gmail, or Yahoo—so you can quickly see which accounts are active.

This is a helpful place to start if you’re troubleshooting email issues or just want to confirm that all your accounts are still working properly. From here, you can tap on any listed account to see more details or make changes.

Manage Mail Accounts

Within the Accounts settings, you can manage how each account behaves. Tapping on an account opens options to adjust syncing preferences, update descriptions, or turn specific features on or off. For instance, if you use a work email that includes contacts or calendars, you can choose to sync just email, or everything, depending on your needs.

This flexibility is especially useful if you want to reduce distractions—perhaps by syncing only your personal inbox on weekends, or keeping work and personal messages separate.

Add Another Mail Account

If you’d like to add another email address, scroll down in the Accounts screen and select Add Account. Apple provides a list of popular email providers like iCloud, Google, Yahoo, and Outlook, making setup simple.

After selecting your provider, sign in with your email and password, then choose which services you want to sync, such as MailContactsCalendars, and Notes. You can always come back and change these later.

Adding multiple accounts is a great way to manage different areas of your life. For example, you might keep your personal and business emails separate but still accessible from the same Mail app.

Account Services

Each email provider may offer additional services that sync alongside Mail. These can include ContactsCalendars, and Notes. Turning these on means that any changes you make—like adding a contact or updating an appointment—will automatically appear across all your devices signed in to that account.

If you prefer not to sync everything, you can toggle these options off. This gives you control over what information is shared between devices.

Deactivate a Mail Account

Sometimes you might not want to delete an account completely but still wish to stop receiving emails from it temporarily. In that case, you can deactivate a mail account.

To do this, go to Settings > Apps > Mail > Accounts, select the account, and turn off the toggle next to Mail. The account stays saved on your device, but its messages won’t appear in the Mail app until you reactivate it.

This is useful if you’re taking a break from work emails or if you only want to access certain accounts during specific times.

Delete an Account

If you no longer need an account on your iPhone, you can delete it entirely. Scroll to the bottom of the account settings screen and tap Delete Account. This removes the account and all associated emails from your iPhone, but it doesn’t delete the account itself—your emails will still be available if you sign in from another device or web browser.

Deleting old or unused accounts helps declutter your Mail app and can even improve battery performance by reducing background syncing.

Change Label

Each email account on your iPhone can have a custom label to help you identify it more easily. For example, you can rename an account from “Gmail” to “Work” or “Personal.”

To do this, go to Settings > Mail > Accounts, tap on the account, and edit the Description field. This change only affects how the account appears on your device—it doesn’t change your actual email address or how others see your messages.
