Add Tags to Reminders
Learn how to organize your Reminders by Tags on the Mac.
Introduced in macOS Monterey, you can now organize your reminders by tags in addition to lists. Why would you want to organize them this way? By using tags, you can assign a reminder to lists! As an example, you could add apples to your grocery list and farmers market list by creating tags. See how to use tags to help you organize your reminders in this video for Reminders on the Mac.
Video TranscriptionIn this video, we’re going to look at how we can add tags to our reminders on the Mac. This was introduced with Mac OS, Monterey. Let’s go to my Mac.

And I’m in the Reminders app here. And I’m looking at my different lists here. As you most likely know, you can organize your reminders into different lists. Well, now with MacOS Monterey, in addition to these lists, what we can do is we can tag them. Now why would we want to tag them as opposed to keeping them and these lists here? Well, with tags, what we’re able to do is apply multiple tags to a single reminder. It’s basically like putting any one of these reminders here in multiple lists. Let’s set an example here, I’m looking at my groceries. Now what I can do is I can get my steak from a butcher shop, I can get it from my local grocery store, I can get it from the farmers market. But with my apples here, I can not get them at the butcher shop.

I can get them at Meijer and the farmers market. And if we go to coffee, what I could do with that is get it at Starbucks as well as the grocery store, but not at the farmers market. So these different items here actually could belong into different lists. And they can belong in multiple lists. This is where tags come in handy. What I’m going to do is apply a few tags to these, and then you’ll see exactly how this could work. So at stake here, I mentioned that I could get this at a butcher shop. So I’m going to go and add a tag here. We have a local butcher shop here called Bob’s. Now to add a tag, what you do is you type the pound sign, so I type pound, and then I go Bob’s. Now it does have to be one word. So if I put a space in here, it’s going to separate that out into another tag. So I have to do is I have to go Bob’s butcher. Now I want to add another tag to this. So I’m going to tap the spacebar. And let’s go and add this to Meijer. That’s our local grocery store. So I type in the pound sign again. And I type in Meijer, and then I can also get this at the farmers market. So again, the space, pound and go farmers market again, all one word. So here are my different tags. Now all I do is hit return. And we can see that we have those tags there. Also, you’re going to see that I have these tags listed down here at the bottom of my reminders lists.

So now let’s go and add a few more here. I’m going to go to eggs. And now that I’ve created those tags, all I have to do is just click on add tags here. And when I do I can select the tag so I can get eggs at the farmers market. And I can get them at Meijer

coffee, add tags, I can get this at Meijer, and I can get it at Starbucks. So I type in here tag,

And now we can see we added that new tag, we’re going to complete this out here hamburger, I get this at

the farmers market.

And I can get it at Bob’s Butcher. And I can get it at Meijer apples.

I can get this at the farmers market. And I can get this at Meijer. And then asparagus is again,

farmers market and Meijer. So now I have these all tagged.

Now all I need to do is just click on the tag here to show all those items with that tag. So let’s say I’m going to the farmers market. This is where tags come into play. I’m going to the farmers market. All I have to do is just click on farmers market here and I can see all of the items here that I can get at the farmers market.

Now let’s say I was going to the butcher shop. All I have to do is just go over to Bob’s butcher here. And then I deselect the farmers market. And now I can see all the items that I can get at the butcher shop. Maybe I’m going to Meijer, I select Meijer here.

And then I deselect Bob’s butcher here, and I can see all the items at Meijer. Anytime I check one of these off, it’s going to check it off or any one of those tags. So I am over at Meijer and I buy some hamburger, I check it off. Now when I go over to Bob’s butcher where I can get a hamburger as well. When I select it, you’re going to see hamburgers checked off. Maybe I’m going to the farmers market. I go over to the farmers market here. Hamburgers checked off. So we can now keep a single reminder in multiple lists by using tags. We can also

Select multiple tags. So let’s say I wanted to find all of the items that I need to get from the farmers market and Bob’s butcher, all I have to do is just select Bob’s butcher here, we can see that they’re both selected. And now it is showing me the items that are at both of those places. It’s not an either, or what it does is it includes all of the items that include both of those tags. So these two items include Bob’s butcher and the farmers market. To deselect any of these, all you have to do is just go back and select any other list. So I’m just going to go to my groceries here. And now I can see all of my items. I want to see all of my items from a specific store, I go back down to tags, and then you’re going to see my one item. Now why is there only one item, I actually have a couple of items in here tagged for Bob’s butcher and the farmers market. That’s because it is only showing me the incomplete items I already bought hamburger, so it’s not showing me in this list. If we go over to groceries here, you’re gonna see the hamburger is checked, I already bought it. Now if I uncheck this, and then we go over to market item, guess what we’re going to see

both of those items. So when we create a smart list, what we’re able to do is easily see which items that we need. Now in addition to adding these tags to reminders in a specific list, we can also add them to reminders from other lists. Meijer is actually more than just a grocery store. It’s a department store so I could get shoes there. So now when I go over to shopping here, let’s go and add shoes, I’m going to tap on the plus here, we’re going to go with shoes, and I get these over at Meijer.

We also need cat food, cat food is going to be added to my shopping list, but I can get that at Meijer. So now I just click on the plus. And I type in cat food.

The tag is Meijer.

So now I have choosing cat food in my shopping list, while

eggs and steak and coffee are in my groceries list. But watch what happens when I select Meijer down here, it’s going to show me all of those items. So here are my shoes and cat food there from my shopping list. And then here are all my other items and my groceries list. So it tags, what we’re able to do is show reminders that are in different lists.

Now in addition to that, we can also create smart lists, smart lists show up underneath your my lists here with smart lists what we can do as we can combine multiple tags. So let’s say I wanted to find all of the items that are from the farmers market and Bob’s butcher.

All I do is just go down to add list here.

I type in fresh market items.

I make this into a smart list.

And then under tags, I add the tag. So this is going to be Bob’s butcher, and it’s going to be farmers market. So now what this is going to do this smart list called Fresh Market items is going to show me all of the items that have these two tags, I click on OK.

We have my Fresh Market items here, this is my new list. And here are the items in that list. If I were to add those tags to more items, they would automatically show up under this list. It’s a smart list. Now if you want to remove a tag, you just go over to your item here and you edit it and then you can remove that tag. If you want to remove the tag altogether, then what you do is you go down to the tag here and you control click on it. And then you can delete that tag, you can also rename the tag. And then there’s also a shortcut for creating a smart list from the tag.

So that’s how we work with tags and reminders. Again, this was introduced with MacOS Monterey. Basically, with tags, what we’re able to do is add a single tag to multiple items, they can be from multiple lists. When we click on that tag, it’s going to show us all of those different items even if they are in different lists. So it’s another way of organizing your reminders. In addition to placing them into categories or lists, you can now tag them. You can also create Smartlist. The key to working with tags just make sure that you put a pound sign in front of the tag and make sure that it is all one word. You cannot have any spaces on it. So that’s how we work with tags and reminders on the Mac.
