Customize Keynote’s Toolbar
Learn how to add and remove tools from Keynote’s toolbar.
By default, Apple’s Keynote places common tools in the window toolbar. While some of these are great, other ones you may not use at all. What you can do is remove the tools you do not use and replace them with other tools from Keynote. Learn how to customize the toolbar in Keynote’s window in this video for Keynote.
Video TranscriptionIn this video, we’re going to look at how we can customize keynotes toolbar. Let’s go to my Mac. When we’re working in Keynote, a lot of the tools that we use on a regular basis are available to us in the toolbar. As an example, let’s say I wanted to add a slide, where do I go, I go up to the toolbar and I click on Add slide, or I want to play the presentation, I go to the right, and I click on play. But also in this toolbar, we have tools that we may not use. If I keep going over to the right, you’re going to say I have collaborate, maybe I no longer are I do not use Collaborate, I want to remove it from this toolbar. Same thing with comment. This is usually used with collaboration. Well, since I’m not using collaboration, I’d like to remove comments as well. Well, we can customize what is shown in this toolbar. How do we do that?

Well, we just need to go to an area where there is not a button. So I’m going to go to this area here. And when I Control click on it, I hold down the control key and I click, you’re going to see I have a few options. The first one is more or less what the look of the toolbar is right now to suffer icon and text. This is why we see the icon and text with each button. I can also set it to just icon. But below that you’re going to see we have Customize Toolbar. When I selected this, we have a new window that opens up. And from here, what I’m able to do is drag any of these tools up to my toolbar, I can also remove tools. So let’s go and remove collaborate from my toolbar, I’m not going to use any collaboration tools in this presentation.

So I’d like to remove this all together, all I have to do is just drag this out, and it removes it. I want to remove comment, I just drag this out and removes it. Let’s go and add a couple of tools. I really love the object list. So you’re going to see I have a button here for object list, all I have to do is just drag this where I want in my toolbar. Now when you drag it into your toolbar, you’re gonna see we have these rectangles here. These are spaces. So if I were to go to the left side of the space, it’ll be next to media. But I can also place it in between these spaces. So then it’s out on its own as an example. So let’s go and do that. I’m going to place my object list here, where my collaborate button was, you’re going to see I have a green plus there, I let go. And now I’ve added the object list. Let’s add another button, we’re going to go with play in window. In addition to just playing it, I’d like to play it in the window. All I have to do is just drag this up.

And I’m going to place this next to play here. If you want to move any one of these around, you can do that as well. So let’s say I wanted to have media here over to the left, you can just drag it and place it where you want. When you are finished, you just go and click on done here. And it applies your changes. And now you can see that I have object list in my toolbar. I click on this, it shows and hides the object list. And then I also have play in window. When I click on this, it’s going to play the presentation in a window. So I still have my menu bar, I still have the dock this is in a separate window here. I’m going to escape to get back to my editing mode. If you want to have the default tools back up there, all you have to do is go and customize it again.

So let’s say I wanted to remove all of the changes, I want to have it back to the default toolbar, I just control click on it again, hold down the Control key, I click, we go over to customize toolbar. And then down at the very bottom, you’re gonna see we have our default set. All I have to do is just drag this up to my toolbar here. And what it will do is it will replace all of the buttons that are in my toolbar with the default set. So let’s go ahead and let go. And now you’re going to see I have my comment here. I have my collaborate, and I no longer have play in the window. So that’s how we can customize keynotes toolbar on the Mac. A little side note, this also does work with Pages, Numbers, and even a Finder window. To customize the toolbar. All you have to do is just Ctrl Click on the toolbar and you’ll see Customize Toolbar. When you select that a new window will open up and then from there. What you’re able to do is add and remove items from your toolbar. So that’s how we can customize Keynote toolbar on the Mac.
