SUMMARY:Reminders and Calendar: Working together in GoodTask
DESCRIPTION:In this presentation I shared how I use the robust task management app GoodTask to organize my Apple Reminders and Calendar events. I highlighted key features of GoodTask including customizable task views\, deep Reminders integration\, and powerful options to tailor the interface and task parameters to each user’s preferences. Lastly\, they discussed the strategic implications of these changes and had a Q&A session on WWDC\, with Dan leading the discussion and encouraging support for his tutorial videos. \n\n\nApple Intelligence and AI Apps Discussion\nDan discussed Apple’s shift towards AI\, known as ‘Apple Intelligence’\, and its implications for app developers. He highlighted the integration of AI into the OS for improved processing and privacy protection\, and revealed Apple’s partnership with ChatGPT and potential future collaborations with Google and others. Due to the EU’s strict privacy laws\, Apple would not immediately roll out this feature in the EU. Dan also demonstrated the functionality of an AI app he uses\, which improves responses by understanding the user’s context and identity\, and explained a new technology that uses AI to provide expert assistance based on user profiles. The discussion also touched on the evolution of AI\, with a focus on neural networks\, and the potential for AI to learn users’ personal preferences to offer more relevant results. \n\n\nAI Integration and Apple’s Privacy Policy\nMichael and Dan discussed the integration of AI with Apple’s privacy policy. Dan clarified that Apple’s AI feature\, coming with their new iOS 18\, does not compromise user privacy as Apple is committed to keeping users’ data secure. He added that the new AI feature would not be available on older devices due to processing limitations\, and users would need an iPhone 15 Pro or newer to access it. Dan also compared Apple’s strategy with its previous focus on a single app\, like the iPhone\, and its impact on other app development. Lastly\, he mentioned the upcoming update to the mail program with AI features\, but noted that this feature would not be available until the fall. \n\n\nPivot Tables\, Categories\, and Safari Tips\nDan instructed Bob on how to use pivot tables\, specifically explaining how to categorize data effectively. He demonstrated how to add categories like age range and decade of birth for easier grouping and counting of individuals in each category. Michael and Paul provided input\, emphasizing the importance of understanding the age distribution. Additionally\, Dan shared a tip from his colleague\, Alyce\, about solving Safari’s issue with certain websites by turning off extensions before resorting to deleting the browser cache or history. The team also briefly discussed their preferences between Safari and Chrome. \n\n\nSafari vs Chrome Comparison and Testing Recommendations\nDan provided a detailed comparison between Safari and Google Chrome\, highlighting their respective strengths and weaknesses\, with a focus on performance\, battery usage\, and privacy. He suggested that users considering Chrome should explore alternatives like Edge for better efficiency and battery consumption. Ward expressed a concern about website developers not testing their sites on Safari\, prompting Dan to recommend testing websites across different browsers to avoid errors. The topic of Apple Pay versus Google Pay was left open for further discussion. \n\n\nAddressing Automatic Email Archiving Issue\nDan addressed an issue with emails being automatically archived instead of being deleted when marked as trash on Todd’s iPhone. He highlighted that this could be due to the settings of Todd’s email account and provided a detailed walkthrough on how to adjust these settings. Dan clarified the difference between archiving and deleting emails\, emphasizing that the former keeps the emails indefinitely while the latter removes them after 30 days. He also stressed that the archiving process happens on the email service provider’s server\, not on the user’s device or in iCloud. Finally\, he advised testing the settings by deleting an email to see whether it is archived or deleted as per the setup. \n\n\niPad Document Saving and Folder Management\nDan clarified to Kevin that on an iPad\, newly created documents are automatically saved in their respective app folders\, such as Pages\, Numbers\, or Microsoft Word. However\, users can move these files to other folders if needed\, using the Files app. This was a change implemented by Apple to allow users more control over their documents\, as opposed to the earlier approach where documents could only be saved within their respective app. Dan demonstrated this process using the Pages app and explained that initial document creation occurs through the app itself. \n\n\nTransferring Video Files to iPad and Storage\nKevin and Dan discussed the process of transferring video files from external drives to an iPad. Dan guided Kevin through the steps of accessing and downloading files from Dropbox to the iPad via the Files app\, making the process easier. They also discussed the organization of data storage on iPads\, with Dan explaining that the iPad’s internal storage functions as a separate hard drive while cloud services like iCloud\, Dropbox\, and Onedrive provide additional storage. Dan clarified that hidden files can’t be accessed directly on the iPad and suggested using a third-party app to view them. \n\n\nSite Transfer and AirPods Troubleshooting\nDan shared his plan to transfer a site to a new server and expected the one-to-ones to be operational again in a couple of weeks after resolving current issues. There was a discussion about the occasional static noise issue with AirPods\, which Dan and Chrys both experienced. No clear solution was found. He proposed troubleshooting methods including unpairing and re-pairing\, and restoring to factory settings. Bob brought up the importance of updating the AirPods’ firmware\, which Dan confirmed as crucial and could be done automatically via the Apple AirPods software. Dan committed to sharing a link to assist with checking for the latest firmware version. \n\n\nAI Resources for Pass Keys and Tutorials\nDan shared his method of utilizing AI to find various resources on pass keys\, including Apple’s support\, Fido\, The Verge\, Google Security\, and Microsoft Azure. He also emphasized that the best explanation of pass keys is subjective\, and he found The Verge and TechRadar to be useful sources.

I also guided the team on how to check if Maildrop is enabled in their settings. However\, despite these explanations\, Ron’s issue remained unresolved. \nResolving Mac Mail App Issues\nI and rnewby discussed a recurring issue with rnewby’s Mac computer\, specifically with the Mail app. I suggested several troubleshooting steps\, including turning off and restarting the computer\, checking for updates\, signing out and back into iCloud\, and managing accounts within the Mail app. Perry\, who was unfamiliar with the process\, asked me to review the steps in detail. I also explained the Mail Drop feature\, which allows users to send larger files by dragging and dropping them into the Mail Drop folder. The team agreed to try these solutions and report back on their effectiveness. \nSyncing Multiple Macs and Chat GPT\nI\, George\, Ron\, Ward\, and Ken discussed various technical issues related to syncing multiple Macs. Ward expressed concern about the lack of a specific online forum for discussing the synchronization of Mac environments and asked for recommendations. I suggested rewording the question to ask Chat GPT for better answers\, which I found more helpful. The team also discussed the use of iCloud for storage and the potential for exceeding storage limits. Ward also mentioned his experience with Chat GPT and its usefulness in technical questions. The conversation ended with me demonstrating the Chat GPT app and its potential for providing focused discussions on specific issues. \nOptimizing AI Tool Usage Strategies\nI discussed strategies for effectively using AI tools like ChatGPT and Claude. I emphasized the importance of setting the right context for AI responses by specifying who the AI should act as\, what the question is\, and how the answer should be presented. I also suggested using prompts to improve AI responses and shared resources like Prompt Hero and Typing Mind for examples. Ward expressed appreciation for my approach\, which he believed would improve his use of AI. The conversation ended with me mentioning a query from Bonnie about her password management. \nPasskeys vs Passwords and Security\nI discussed the differences between passwords and passkeys\, explaining that passkeys are stored on the user’s device and are more secure due to end-to-end encryption. I noted that not all sites are set up for passkeys\, and the technology is still evolving. I also demonstrated how to use a passkey on a Mac\, explaining that it can be synced across devices. Steve shared a link about Apple’s limitations on mail drop\, and the team discussed the terms ‘casting’ and ‘mirroring’\, which I clarified are synonymous. \nCasting Videos to TVs Explained\nI explained the process of casting videos to TVs or making DVDs\, emphasizing the need for a compatible TV with the Apple TV app. I demonstrated how to use the airplay feature on iPhones and iPads to mirror content to a TV\, provided a workaround for older TVs in hotel rooms by suggesting the use of an Apple TV box\, and addressed security concerns raised by Michael. \nWireless Content Projection Solutions Discussed\nIn the meeting\, I and George discussed solutions for wirelessly projecting content from a phone to a TV. George suggested using a long HDMI cable with a dongle\, which I agreed was a secure and cost-effective solution. I also mentioned that newer Apple TV models may not support all services due to compatibility issues. Kevin expressed interest in this solution for his vacation rentals\, but was unsure about the specifics. I clarified the process\, explaining that a cable with a dongle could be used to connect an iPhone or iPad to a TV. George added that it’s essential to sign out of accounts when leaving a rental to maintain privacy. The team also discussed the importance of using the correct dongle for the device being used. \nExploring Apple TV App and Airplay\nI discussed the use of the Apple TV app for streaming video to TVs\, particularly in hotels where the system is corporate-owned and connected. I explained the technology behind this\, known as Airplay\, which allows data to be sent over to the TV. I also demonstrated how to use this feature on both iPhone and Mac\, including the process of entering a code to connect the devices. Kevin asked about the difference between Airplay and the Apple TV app\, and I clarified that Airplay is the technology used for broadcasting to the TV. Chrys and Mary confirmed their understanding of the process. \nPhoto Sharing and Password Management\nMary discussed her efforts to declutter and share photos with her children\, considering using a photo box and a digital frame. I suggested using Apple’s photo sharing feature\, which allows individuals to download and view photos on their devices. Mary also inquired about password management\, with me recommending Apple’s password manager\, which uses Keychain. Lastly\, I explained the features of the dynamic island on the phone\, which can change depending on the app being used\, and Chrys confirmed its usefulness with podcasts. \nNavigating Site and Sharing Photos\nI discussed the best ways to navigate my site\, explaining how to categorize and search for tutorials\, topics\, and lessons. I also addressed how to access recorded sessions and the importance of being logged in to view certain classes and webinars. Chrys asked about saving photos for her kids\, and I suggested creating a class on sharing photos in the New Year. The team also discussed alternative ways to share photos\, such as using Imovie or Magic Movie.
